This Privacy Policy explains how Visionartifact (“we”, “us”, “our”) collects, uses, stores, and shares personal information in connection with your use of the VisiLot platform.

We are committed to protecting the privacy of our users and complying with the Personal Information Protection and Electronic Documents Act (PIPEDA).

1. What We Collect

Dealerships using VisiLot may input or store the following types of customer and user data:

  • Full names
  • Email addresses (including employee work emails)
  • Phone numbers
  • Vehicle-related pricing or deal data

In addition, we collect personal information from authorized dealership employees who use the platform, including their name, email address, and login credentials, for the purpose of managing user accounts and providing secure access.

2. How We Use It

We use the data provided by dealerships solely to:

  • Provide access to the VisiLot platform
  • Support tracking of deals, deliveries, and due bills
  • Assist with customer service inquiries
  • Maintain platform functionality and security

We do not use or sell customer data for marketing purposes.

3. How We Store & Protect Data

Customer and dealership data entered into the VisiLot platform is stored on secure servers provided by Amazon Web Services (AWS). These servers may be located in the United States.

While we use commercially reasonable safeguards — including encryption in transit, access control, and regular security reviews — information stored outside of Canada may be subject to the laws of the jurisdiction in which it is stored. For example, data stored in the United States may be accessed by U.S. law enforcement or government agencies under applicable U.S. legislation.

We ensure that our service providers implement strong privacy and security practices and limit access to data to only those with a business need.

4. Data Access & Confidentiality

  • Each dealership can only access its own data.
  • Employees cannot access data from other dealerships.
  • Visionartifact employees may access your data only as needed to provide technical support or fulfill legal obligations.

5. Data Retention

We retain dealership and customer data for 12 months following account cancellation. This allows for potential account reactivation and billing reconciliation.

Dealerships may request earlier deletion of data in writing. We will respond to such requests within a reasonable time.

6. User Rights

If you are a dealership or individual whose data is stored in VisiLot, you have the right to:

  • Request access to your data
  • Request correction of inaccurate data
  • Request deletion of your data (subject to contractual obligations)

7. Changes to This Policy

We may update this Privacy Policy from time to time. Any changes will be posted on our website and become effective immediately upon posting.
